After all your forms, reports, and queries have been completed, your final piece of database development is to create the customized user interface You can accomplish this in two ways: by customizing the Navigation Pane to include special categories and groups, or by creating a switchboard that branches to the database activities This section describes the process of creating a custom Navigation Pane The next section covers using the Switchboard Manager to build user interactive forms for your database If daily users are devoted to a few specific database activities, they don t need to scramble through all the objects in the database to get their jobs done You can create a custom Navigation Pane with a category focusing on the department activities Within the category, you can place custom groups relating to certain jobs so that each group contains only the objects required for that job You can always revert to the default Navigation Pane if the IT staff needs to work on the database itself To do that, open the Navigation Options dialog box and choose one of the native categories, such as Object Type or Tables and Related Objects, and then click OK

Here s a look at how to map out the database and arrange activities based on the business at hand To plan the arrangement of objects in the custom groups in the custom category, you need to look at what users do on a regular basis For example, in the Bayview Police Department, staff users enter incident reports and other reports about people who are involved in some way with police activities on a daily basis The incidents are recorded in the Alpha Card table while the public activities are stored in the Alpha Entry table Each of these tables has a data entry/edit form that you can place in a custom group Other data entry forms can also be included, as necessary On a weekly basis, users print reports for distribution of the information within the department If mail is regularly sent to personnel, you can also include a report that prints labels It makes sense to create two custom groups for these two activities As a start, place the following forms in the first group, named Data Entry: Alpha Card Alpha Entry Volunteers The second group, named Print Reports, includes the following: Alpha Entry by Code Alpha Card with Entries

A common need within web parts is to get information from a list, library, or even documents stored there While this can be for simple purposes, such as displaying a Summary View of the list or library (the RSS Feed Reader works like this), it is also one of the simple but very powerful ways to extend the use of SharePoint This is a key point in development; using a list or a library provides the same features a database would, but it also provides all that is needed for the user to maintain the actual data and/or documents Consider this example: You want to display a small image map based on the value of a drop-down menu; the images will be maps and the drop-down menu will be a list of location In a typical application, you would create an ASPNET page that showed the drop-down menu and image placeholder You would then either hardcode a list of selections or get it from a database You would have to associate each choice with an image and then upload them to the server file system (I won t even go into security) To add a new location, you must re-edit if hardcoded or add it to the database, recompile, deploy the application to the server, and then upload an associated image If users need to be able to do the maintenance, a new application must be created to provide add, update, and delete capabilities (with error checking), and also an upload routine for getting the images onto the server Building this in SharePoint is completely different By using a SharePoint list that has a Location column and an Image attachment, a simple web part could read the list to provide the drop-down menu; when a location is selected, it could load and display the associated image Since a list is already user maintained, no extra code is needed! The primary point here is that a few lines of code in a web part that is leveraging SharePoint s existing features provides the same functionality in 1/10th of the time (and provides a better end product!) Now, if you looked at the previous example of connecting to a site, you will be surprised at how amazingly simple this is In this case, connecting to a list or library within a site takes only two lines of code:.
